Privacy policy

IAVA is a trade name based in Atlanta, Georgia, USA ("IAVA", "we", "us"). This policy explains, in plain words, what data we collect on iavasystems.com, through our demo form and in our business communications, why we use it, and what you can ask us to do. It does not cover the client platform at app.iavasystems.com.

What we collect

• What you type into the demo form: name, business name, phone, email (optional), type of business and preferred language.
• Your contact preferences: if you tick the optional SMS or WhatsApp boxes, we store that choice, the date and the version of the text you accepted, as a record of your consent. We also keep your opt-out requests.
• Campaign data: if you arrived from one of our links (for example, an email), we store which campaign brought you (the utm_source and utm_campaign parameters) and the language of the page.
• Technical data: our hosting provider may log data such as your IP address and browser for security and spam filtering.
• Business contact data: to reach businesses by email, we may use business contact details that are publicly available, for example on their website or in business directories (business name, contact person, business email and phone).
• Anything you send us by email or WhatsApp, if you choose to contact us that way.

How we use it

• To respond to your request by phone, email or WhatsApp and to schedule your demo.
• To prepare the demo for your type of business and talk to you in your language.
• Only if you agreed through the optional checkboxes: to send you follow-up and marketing text messages (SMS) or WhatsApp messages about our services, which may be sent using automated or AI-assisted systems.
• To send businesses commercial emails about our services. Every email includes an easy way to unsubscribe.
• To understand, internally, which campaigns work.
• To comply with the law and keep records of consents and opt-outs.

Text messages (SMS) and WhatsApp

• We only send you marketing messages by SMS or WhatsApp if you agreed. Consent is not a condition of submitting the form or of any purchase.
• Message frequency varies. Message and data rates from your carrier may apply.
• To opt out, reply STOP to any message. You can also ask us by any other reasonable means, for example by emailing admin@iavasystems.com. We honor opt-outs as soon as possible and within 10 business days at most. We may send you one message confirming your opt-out.
• For help, reply HELP or email admin@iavasystems.com.
• Carriers are not liable for delayed or undelivered messages.
• No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. This overrides any other part of this policy.

Email

Every commercial email we send includes our postal address and a link or instruction to unsubscribe. We honor unsubscribe requests within 10 business days at most, free of charge.

Booking your demo (Cal.com)

After you submit the form you can book your demo on a Cal.com calendar embedded in our page. If you use it, Cal.com receives what you enter there (name, email, the date and time you choose and any notes) to create the appointment and send you confirmation and reminder emails. Cal.com acts as our service provider, may use its own cookies needed for the calendar to work, and handles that data under its own privacy policy. The appointment syncs with our Google calendar and the video call takes place on Cal Video, Cal.com's video tool, governed by Cal.com's privacy policy. We do not record demos without asking your permission first. Booking is optional: you can also wait for our call or write to us.

What we don't do

• We never sell or rent your data. We don't share it for third-party advertising either.
• This site sets no cookies of its own and uses no analytics, advertising or social media plugins. Our typefaces are served from our own site, with no third-party connection. If you book a demo, the scheduling tool (Cal.com) may use its own cookies, as explained below.

Who we share it with

Only with the providers we need to operate, and only so they can provide that service to us:

• Netlify: site hosting and form handling.
• Cal.com: demo booking and confirmation and reminder emails, if you choose to book.
• Google (Google Calendar): if you book a demo, the appointment is saved in our Google calendar with your name, email and notes. Google handles that data under its own privacy policy.
• Our email provider, Namecheap (Private Email): sending and receiving email for admin@iavasystems.com.
• WhatsApp (Meta), if you message us or we message you on WhatsApp. That service is governed by its own terms. If you tap a WhatsApp link on this site, you go to wa.me, a Meta website.

We may also disclose data if the law requires it or to defend our rights. In every case, mobile information and SMS consents are not shared with third parties for marketing, as stated above.

How long we keep it

As long as needed to handle your request and, if we work together, for the length of our business relationship. If we don't end up working together, we delete your form data 24 months after our last contact. We keep records of your consents and opt-outs for 5 years so we can show that we respected your choices. You can ask us to delete your data sooner.

Security

We use reasonable measures to protect your data, such as encrypted transmission (HTTPS) and limiting access to those who need it. No system is 100% secure. If an incident affects your data, we will notify you where the law requires it.

Your rights and choices

You can ask us to access, correct or delete your data, or to stop contacting you, by writing to admin@iavasystems.com. We may ask you to confirm your identity. We will reply within 30 days at most. If you ask us not to contact you again, we will keep only your phone number or email on a "do not contact" list so we can respect your choice.

Children

This site and our services are meant for businesses and the adults who represent them. They are not directed to children under 13, and we do not knowingly collect data from children under 13. If you believe a child has given us their data, write to us and we will delete it.

Changes

If we change this policy, we'll post the new version on this page with its date. If a change affects how we use your phone number for messages, we will ask for new consent where the law requires it.
